What is Ask Maven (Beta)?
Ask Maven utilizes multiple components to provide relevant answers based on user workflow data and public DeepHow documents available in our Knowledge Base. It indexes user-generated workflows and documents into vector and graph databases within our secure cloud environments. When a user asks a question, a similarity search retrieves the most relevant resources, which are then included as context for the language model to generate corresponding answers. This system ensures that employees have access to the most pertinent information without compromising data security. No external services are leveraged when indexing documents.
What makes Maven Chat unique?
- We enable customers to ask questions related to their data within their DeepHow instance
- The generated answer includes the referenced workflow(s) used to answer the question.
- The data set is secure. Generic questions are locked in our environment and within each instance; no two customers will be able to see data from each other’s instances.
How To Use Ask Maven Step by Step:
- You can navigate to Maven in the navigation toggle.
- Type in your prompt in the chat message box and select enter.
- Ask Maven will take a few moments to populate an answer.
- Once Ask Maven responds, you will be able to see references to see which workflow provided the answer.
- Select the workflow to watch it
- Ask Maven will also provide recommended questions related to your content that you can select as well
- You can select the clipboard to copy the answer from Ask Maven if desired.
- As you enter prompts, each prompt will populate in the Chat History section on the left-hand menu.
- Selecting the prompt will bring you back to the question-and-answer
- You can clear conversations with the clear conversation option. At this time, you can not clear one conversation, you will have to clear all
FAQ
Q: Is there a limit to referenced workflows that are displayed when you Ask Maven a question?
A: There is a maximum of 5 workflows that will be used as references when answering a question, it could vary between zero to 5 workflows depending on the question and available references.
Q: Will Ask Maven search all workflows?
A: Ask Maven only searches Published workflows, not unpublished
Q: How does Ask Maven work for private workspaces?
A: Ask Maven can answer questions on workflows that are in your private workspaces, as long as you are the admin in that workspace. When filtering by workspace if users don't have access to a private workspace the workspace will not show up as an option in the workspace picker.
Q: How long does Ask Maven take to return an answer?
A: This varies a lot depending on the question, the workflow transcripts in the instance, and the length of the answer. The length of the answer is the main factor, shorter answers will be returned quicker. For this release, it will vary between 10 to 60 seconds.
Q: Does Ask Maven look at the authors, categories/ tags/ title of the video, or just content?
A: Ask Maven will look at workflow transcript, workflow title, workflow terms, step titles, workspace names and workspace group names when deciding which videos to use a references. Authors, categories and tags are not included in this release.
Q: Can I integrate Ask Maven into my LMS without having to log into DeepHow?
A: Not in this release.
Q: Can you clear one conversation versus all conversations?
A: At this time you can only clear all the conversations instead of only one.
Q: Can Ask Maven be asked about Skills and Analytics?
A: No, it will only answer questions related to the workflow’s content.
Q: Can DeepHow Maven support multiple languages for input and output?
A: If users ask questions in a non-English language, the system will respond in English.
Currently, Ask Maven does not support multi-language input and output.
Q: Does Ask Maven go outside of DeepHow Instance?
A: DeepHow hosts its own pre-trained LLM model internally. When prompting Ask Maven, users may receive responses generated from the LLM model we host, in addition to content within their customer DeepHow instance. Ask Maven does not go out of DeepHow Instance to send or fetch information from the internet.

Amazing! We will learn more as more users begin to pilot, but initial testing suggests this could be a game changer for our company to leverage all the technical videos we have in Deephow!
