What is a Text SOP (Beta)? 

DeepHow Maven includes a powerful feature for generating text-based SOPs. This feature allows users to create detailed and structured SOPs based on recorded work demonstration content built with or uploaded to DeepHow, which can be easily edited and updated as needed. The text SOP generation tool ensures that captured procedural details are clearly documented and can be quickly shared across the organization, and can be utilized for accelerated text SOP creation. This saves time on knowledge capture and documentation, while enhancing communication and consistency in procedural adherence, reducing errors and improving overall operational efficiency.

How To Generate a Text SOP Step by Step:

1. Your admin needs to go to Settings and select Maven Multimodal SOP. Enabled AI-generated Text SOPs.
2. Once text SOPs are enabled in the admin panel, navigate back to the Studio.
3. Select a workflow.
4. On the top right in the Workflow builder, select the new option labeled Text SOP.
5. Generate a text SOP with AI based on the workflow.
6. Once the text SOP has loaded, you can review it before activating it.
   1. The SOP will start with an introduction that you can edit.
   2. Each panel can be closed, and you can edit the step titles and descriptions pulled from each step in the workflow.
   3. Review all information, including tools needed and safety warnings. 
7. Once finalized, save the text SOP.
8. Copy the SOP to your clipboard, and you will receive a success message.
   1. Paste this SOP elsewhere to save for your records.
9. You can clear the SOP at any time to start from scratch.
10. Once satisfied with the text SOP, select Activate.
    1. You will receive a success message indicating that the SOP is activated, shown by a green dot next to Text SOP.
    2. After editing your workflow, publish the workflow.

Access to Text SOPs on a Workflow:

When viewers navigate to the workflow, they will see that the text SOP is next to the steps and comments. Viewers can watch the workflow and review the SOP as needed to learn the content.

FAQs:

Q: Will the written SOP be exportable for print and converted into customer formats? 

A: You can copy the SOP and paste elsewhere. You can not select 'Export'. 

Q: Will translations be available for Text SOPs?

A: The text SOP only supports English workflows. If a users uploads a non-English workflow, they will not see the Text SOP button at the Editor stage.

Q: Are you able to send to the reviewer just the Text SOP? 

A: Not at this time.

Q: Why do I have to select 'Activated' when I finish editing the SOP? Shouldn't this go live when you select Publish on the workflow?

A: We have adjusted the naming conventions to avoid too many Publish/Unpublish terms. In our July 9th release, only the Workflow will be referred to as Publish/Unpublish. We believe that the publishing action should be separate to prevent users from having to activate the text SOP after publishing the workflow.

Q: Will we be able to report out on this through analytics? How many SOPs were generated? Questions asked by users etc? Is this in a future iteration?

A: In the first version, you will not be able to see how many SOPs were generated in analytics. 

Q: Can I add images to the steps?

A: Not at this time but in the future we will pull images from the video for the text SOP. 

Q: Why are the steps not named after the steps I made in the workflow? 

A: In a future version, we will make these steps the same name.
