- Log in as an org admin and navigate to the Admin section
- Select Settings and navigate to Permissions
- Employee ID must be enabled for your organization to display the shared accounts option.
- Enabled shared accounts.
-
When enabling shared account login, Org Admins also have to decide on the following settings:
-
Limit employee ID login to shared devices only. If this flag is activated, then employees should not log in from DeepHow login page but only through a shared device.
-
Allow employees to create their own accounts in a shared device. Employee self sign-up is optional. The option to create their own account from a shared device is enabled only if this flag is activated.
-
-
- Navigate to Settings -> Master Password.
- If you enable this feature, users that access with employee ID will have to input this password to access DeepHow content.
- Shared devices are based on workspaces. Navigate to the Workspaces in the Admin section.
- Select a workspace.
- Select Add Shared account
- Name the account and add an Account ID with no spaces.
- In general, these accounts will be linked to a single workspace, but the same account may be added in more than one workspace.
- Shared accounts cannot be assigned to Teams or Skills.
- You will see the icon change next to the image to also indicate it is a shared account in the workspace.
- Admins can navigate to the shared device page (deephow.ai) and login with their account ID.shared@ Instance key
- Users can log in with an existing account or create a new account on this page.
- Once a user creates an account, they will be logged in.
- When a user logs out, they will appear as a recent user.
- This main page will keep track of who has used the employee ID login most recently and saves the top 5 so they don’t have to remember their login.
- To completely log out of a shared account, navigate to the gear and log out.
Existing Employees
From the shared device (logged in with a shared account) employees will be able to access DeepHow with their existing accounts.
- From the list of last employees that used the device, by clicking on the Employee icon
- Using the “Log in with existing account” button to log in with an existing user.
If a MP is required for the organization, it will be asked in order to access DeepHow.
Any employee with an existing employee ID account in DeepHow will be able to log in using a shared device. Even if they belong to a different workspace, they will appear in the Employee Search.
